Truck Dispatching USA LLC ("we," "us," or "our") operates as a bona fide agent of motor carriers under FMCSA regulations. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit truckdispatchingusa.com, use our truck marketplace, or contact us about our dispatch services.

1. Information We Collect

We collect information you provide directly to us, including:

• Name, company name, and MC/DOT number
• Email address and phone number
• Equipment type, operating states, and freight preferences
• Any other information you submit through our contact or hiring request forms
• If you use the Truck Marketplace: your seller account details (name, email, phone, company, website, location), the listings you post (descriptions, prices, photos), and messages that buyers send you through the site
• If you choose to verify your identity: the result of that check (see section 4)

We also automatically collect certain technical information when you visit our site, including IP address, browser type, pages visited, and referring URLs, through Google Analytics.

2. How We Use Your Information

We use the information we collect to:

• Respond to your inquiries and provide dispatch services
• Communicate load opportunities, rate confirmations, and service updates
• Comply with FMCSA regulations applicable to bona fide agents
• Improve our website and services
• Send service-related communications (we do not send marketing emails without your consent)

3. Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

• Freight brokers and shippers — as necessary to book loads on your behalf as your authorized agent
• Service providers — third-party tools we use to operate our business, such as communication platforms, Stripe (payments), Didit (identity verification), and Cloudflare (website delivery and security), which process data only to provide their service to us
• Marketplace users — enquiries you send about a listing go to the seller, and details a seller chooses to publish are public
• Legal compliance — when required by law, court order, or FMCSA/DOT regulation

4. Truck Marketplace

Our Truck Marketplace lets sellers post listings and buyers contact them. Seller accounts are passwordless: we email you a one-time sign-in link, and we use a session cookie to keep you signed in. Listing details you publish, and the contact options you choose to show, are visible to the public. When a buyer sends an enquiry, we pass it to the seller of that listing.

To fill in listing details, we may look up a truck's VIN or a company's DOT/MC number in public U.S. government databases (such as NHTSA and FMCSA). Those lookups use the VIN or DOT/MC number you enter, not your personal account details.

5. Identity Verification

Sellers may choose to verify their identity to earn an "Identity verified" badge. Verification is handled by our provider, Didit. You submit a photo of a government ID and a selfie directly to Didit, under Didit's own privacy policy. We do not receive or store your ID images or selfie. We keep only the outcome of the check (verified or not), the name on the verified ID, the date, and a reference number for the check.

6. Payments

Paid marketplace features (such as listing upgrades and the Dealer plan) are processed by Stripe. Your card details go directly to Stripe and are never stored on our servers. We keep a record of what you purchased, the amount, and the date for accounting and refunds.

7. Cookies and Analytics

Our website uses cookies and Google Analytics to understand how visitors use the site. Google Analytics collects anonymized usage data. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

Our site is delivered through Cloudflare, which processes visitor IP addresses to protect the site from abuse and attacks. We use a session cookie for seller sign-in and, as is common, basic request logs for security and rate limiting.

If you arrive from an ad or a link on another site, we save a small cookie for 30 days that records where you came from (for example the campaign name). We use it only to see which of our marketing works, and attach it to an account, listing or enquiry you create. It contains no personal details.

You can set your browser to refuse cookies; however, some parts of the site may not function properly if you do.

8. Data Retention

We retain your information for as long as necessary to provide services to you and to comply with our legal obligations. Carrier records related to dispatch services are retained in accordance with applicable FMCSA recordkeeping requirements. Marketplace account and listing data is kept while your account is active; you can ask us to delete it at any time (subject to our accounting and legal obligations).

9. Data Security

We implement reasonable technical and organizational measures to protect your information against unauthorized access, loss, or misuse. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

10. Third-Party Links

Our website may contain links to third-party websites (such as load boards, FMCSA portals, or industry resources, or to a seller's own website). We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies.

11. Children's Privacy

Our services and marketplace are intended for business use by commercial motor carriers and vehicle sellers and buyers. We do not knowingly collect information from individuals under the age of 18.

12. Your Rights

You may contact us at any time to:

• Request access to the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information (subject to our legal retention obligations)
• Opt out of any communications from us

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a revised "Last updated" date. Continued use of our website after any changes constitutes acceptance of the updated policy.
