Professional communication for dispatchers

A dispatcher never touches the freight. Everything you produce is a message: the call that books the load, the text that keeps the driver calm, the email that wins the detention claim. This lesson teaches the call structure, clear speech for native and non-native English speakers alike, the spelling alphabet, the slang, tone for each person you deal with, de-escalation, written formats, time zones, respectful conduct, and a library of more than thirty copy-ready templates, with role-plays and drills so you sound like a professional from your first call.

In this lesson

  • Every call has the same six parts: greet, identify, state purpose, exchange details, read back, close with the next step. Learn the shape and the nerves go away, in any accent.
  • Numbers are where money is lost. Read every MC number, load number, address and appointment time back with the spelling alphabet and the time zone, and you will almost never book the wrong load or miss a dock.
  • Brokers, drivers, shippers and receivers each need a different tone. The words are similar; the pace, the warmth and the amount of detail are not.
  • Anything agreed by voice is written down within five minutes and sent to the other party. If it is not in writing, it did not happen when the money is counted.
